JOB DESCRIPTION

QUALIFICATIONS
bullet

Minimum age 25 years.

bullet

10 years experience in organized camping.

bullet

College degree in field related to camping.  Post graduate work preferred.

bullet

Knowledge of camp organization, programming, diabetes, diabetes management in a camp setting.

bullet

Highly skilled in intrapersonal communication, supervision, management.

bullet

Certifications in CPR, First Aid, with additional medical training/experience desired.

bullet

Expertise in various teaching modalities and camp-related content.

bullet

Experience in running various camp activities.

 

RESPONSIBLE TO

Executive Director, Boston Office, American Diabetes Association

GENERAL RESPONSIBILITIES
bullet

Recruit, screen, hire and facilitate the training/supervision of all camp staff in accordance with ADA policies and procedures.

bullet

Coordinate the camp program including schedule, special activities, staff meetings, counselor time off, parent and camper communication.

bullet

Ensure that high leadership standards for program activities, camper health and safety are maintained.

 

SPECIFIC RESPONSIBILITIES
bullet

Post Job Descriptions and questionnaires with ADA to begin hiring of paid staff.  Follow through the hiring process as outlined by the ADA HR Department.

bullet

Engage Volunteer Medical, Dietetic and Specialist Staff, following ADA procedures.

bullet

Conduct interviews, obtain references and employment histories, and see that criminal background checks are done for each staff member.

bullet

Create online learning packages for all staff to prepare them for the actual camp experience prior to their arrival.

bullet

Assist in the development of emergency procedures, and ensure that all procedures are taught, observed and followed.

bullet

Supervise all camp staff during camp operations.

bullet

Ensure that camp is in compliance with ACA standards.  Update policies and procedures as necessary.  Meet standards every year and complete accreditation process every three years.

bullet

Ensure good working relationships with camp staff leadership, ADA staff and volunteer leadership, host facility and parents of campers are developed and maintained.

bullet

Report all incidents and accidents immediately to ADA staff contact and cooperate in the completion of required follow-up.

bullet

Work with local ADA staff to maintain camper and camp counselor records in accordance with ADA policy.  (Camper File Retention Policy).

bullet

Conduct supervisory and performance evaluations with staff.

bullet

Work with Medical Director to ensure adequate medical staffing and appropriate camper medical management.

bullet

Complete yearly Camp Evaluation materials for ADA and Lions Camp Pride.

bullet

During the Year:

–Meet with Cabin Leaders, Team Leaders, Program Director, and Administrative Assistant in the Fall, Team Leaders in the Spring, and other staff members on a continuing basis.

–Update paperwork, Staff Manual, policies.  Foster new ideas and plan the Pre-Camp Schedule.

–Monitor and increase use of camp Facebook page.

–Participate in monthly Camp and Youth conference calls, and continue work on Youth Sub-Committee.

–Facilitate contract negotiations with Lions Camp Pride and the ADA.

–Maintain open communication with Camp Coordinator to ensure all preparation for camper applications, collection of payments, donations, ordering of supplies, all required paperwork is completed before camp begins.

–Foster the development of fundraising for camp, Camp Alumni Association and new programs at camp.

–Provide documentation to meet ADA standards re: ambulance service and hospital agreements, annual compliance, and completion of the yearly Code of Ethics.

–Submit annual NH Department of Environmental Services Application for a Youth Recreation Camp License to operate camp.

Pre-Camp:

–Have all paper work ready for staff prior to their arrival:  Make sure all the council files are complete, all personal information collected.

–Implement Pre-Camp Schedule.

–Encourage leadership development on all levels.

–Ensure ADA policies and ACA standards are understood by all staff and plans are made to implement them.  Emphasize medical and physical safety of all, behavior management skills/plans, staff cohesiveness

–Provide Lions Camp Pride a list of camp attendees and copies of certifications.

During Camp:

–Ensure the smooth operation of camp.  Meet as needed with Staff members, LCP staff, campers, and CITs.

–Be aware of homesick campers, medical and behavior problems.  Step in as needed.

–Ensure appropriate supervision of all staff members, campers and CITs.

–Communicate with parents as needed

–Ensure that all incidents are properly recorded and documented.

–Ensure proper documentation and accounting for Petty Cash, deliveries, bill payments, donated goods and services.

–Ensure all time cards are accurately completed and signed by volunteer staff members.  Complete documentation for donated services for the ADA.

–Prepare for the closing of camp.

Post-Camp:

–Ensure all time cards are accurately completed and signed by paid staff members.

–Ensure camp is properly closed down, reports written and filed.  Every aspect of camp should be reviewed and evaluated so that improvements can be made.

–Ensure that staff evaluations are completed and communicated with staff members.

–Meet with Key Staff members after the departure of the counseling staff to review the summer and begin planning for the next year.

–Finalize all reports for the ADA and Lions Camp Pride.

–Work with Camp Coordinator to finalize documentation of donated goods and any outstanding bills/open accounts in time to meet ADA deadlines for the year.
